CHAT TOURS Booking Terms and Conditions

Chat Tours
Payment of deposit is your acknowledgement that you have read, understood and accepted these Terms & Conditions and costs of service.

These Terms and Conditions are effective from January 1, 2012.

Changes in Prices and Itineraries

Prices are based on tariffs current at 1/11/11. In these times of escalating prices and economic instability it is not possible to foreshadow accurately any fluctuations in exchange rates or increases to the cost elements of the tour such as increases in airfares, fuel, airport charges, hotelier rates and other service provider’s tariffs. In the event of such fluctuations or increases affecting the prices we pay for transportation, accommodation and services generally, we reserve the right to adjust our prices as may be necessary at any time up to and including the commencement day of the services, even though the balance of payment of these services may have been made. Any verbal quote given is an estimate only of the price which will be subject to a written advice on confirmation of the reservation. If we are forced to change your booking or part of it for any reasons beyond our control, for instance if an airline changes its timetable or if a hotelier overbooks his hotel accommodation, we reserve the right to vary your itinerary and will give you, or cause to be given to you, notice therefore, including any consequent change in price. In the event that any one change or series of changes to your itinerary demonstrates that your holiday has thereby become materially different from that contemplated prior to the change or changes being effected and in respect of which we have already accepted your deposit or balance of payment, you have the right to ask for a rearrangement or to withdraw from the holiday and monies already paid will be refunded less any charges levied by the suppliers. It is essential you check with your travel agent whether any changes have occurred in the holiday you have chosen before you complete your booking. Should you with a double bedded room during your holiday we shall make note of your wish and advise the hotel(s) in question. However, such request cannot be confirmed NOR guaranteed and it is on this understanding that we are accepting your booking. At the beginning and end of each season (April & October) some hotel and other amenities on Greek Islands may be curtailed. All prices quoted on this website are in Australian Dollars (AUD) unless otherwise specified. The costs shown are land content only and do not include airfares except where indicated. These airfares are subject to applicable IATA rates and regulations and conditions of contract (ticket). Once ticket has been issued a cancellation fee may be applicable at any time prior to departure.

How To Book

Your travel agent will make reservations on your behalf. Upon confirmation of services you will be required to pay a deposit to secure your booking and make full payment in accordance with our payment policy. Greek Island hotels are usually small so BOOK EARLY to secure your first choice. Late booking fees apply.

Deposits and Final Payments

The deposit amount of AUD$200 per person is payable within 7 days of confirmation of reservation. A request for the balance of your monies will be sent to you by your Travel Agent following confirmation of your booking. Additionally a 25% deposit is required for all Cruises. Final payments are to reach us no later than 45 days prior to departure. If for any reason your balance payment is not received by us by the due date, as set out above in respect of your holiday, we reserve the right to treat your booking as cancelled and to apply the appropriate cancellation charges.

Single Room Cost

Single Occupancy of a room by choice or circumstances is subject to applicable supplement.

Cancellation Fees/No Show

Should a member of your party be forced to cancel, you must advise your travel agent in writing. The cancellation is not effective until your Travel Agent receives your letter. Cancellations are subject to a charge to cover our estimated costs and overseas operators’ costs. The scale of per person charges in the event of cancellation or failure to travel without formal cancellation is:

  • 45 days + prior to overseas departure: Forfeit of deposit.
  • 44-30 days prior to overseas departure: 25% of total cost or deposit whichever is greater.
  • 29-16 days prior to overseas departure: 50% of total cost or deposit whichever is greater.
  • 15 days or less prior to overseas departure: 100% of total cost of arrangements.
  • Failure to check-in at designated hotel & date will result in cancellation of all subsequent services and 100% No Show fees will be charged.

Above fees are subject to GST for Australia. Suppliers’ cancellation fees may be in addition to the charges outlined above and may be higher than the scale above (up to 100% of services’ cost). We strongly recommend a travel insurance policy to cover Cancellation Charges in the event of cancellation.

Refunds

No refund is available for cancellation after your arrival in Greece or elsewhere or after the holiday has commenced, or in respect of any services, accommodation, meals or any other service not utilized. If you consider that any aspect of any services provided were not presented on this website please inform our local representative immediately who will do all practically possible to restore the problem at that time. If however any matter was not resolved please write to your Travel Agent, within 30 days on completion of your stay in Greece or elsewhere, otherwise any claim will not be accepted.

Maps and Photography

Maps shown on this website are intended only as a general guide. Route maps similarly show the general direction of the tour or cruise and are not conclusive. Hotel room and cruise cabin photographs are intended to depict the style of accommodation and may not be standard throughout the hotel or the vessel.

Holiday Cost Does Not Include:

  • Meals other than as stated in itineraries
  • Any airfare except where stated
  • Australian departure tax and any other taxes
  • Passport and visa charges, vaccination fees, airport taxes
  • All items of a personal nature such as telephone calls, beverages, laundry, excess baggage charges and gratuities
  • Travel insurance
  • Any accommodation in Australia is at clients’ own expense

Multilingual Tour Escort

On Coach Holidays, CHAT TOURS will have an English-speaking guide lecturer who acts as an interpreter. Since you will meet people from all over the world, the commentary could be in several languages including English. Coach tours featured on this website may be at any time cancelled or substituted by private car at operator’s discretion.

Travel Insurance

We strongly recommend that at the time of booking you purchase a comprehensive travel insurance policy of your choice. We suggest that the policy should include, but not be limited to, the following features:-

  • Loss of deposit through cancellation
  • Personal baggage and loss of money
  • Medical expenses
  • Additional expenses to cover hotel accommodation and repatriation costs to Australia should the holiday need to be extended or curtailed due to illness while overseas or due to the need to return to Australia because of unexpected death or illness of a close relative.

Children’s Costs

Children are accepted on all holidays dependent on age. Cost will be advised on application.

Travel Documents

Each person shall be responsible for obtaining the appropriate visa and carry a valid passport at all times. Persons residing in Australia who do not hold an Australian passport will require an Australian re-entry visa. Take your driver’s licence. Kindly note that passport and visa requirements are not our responsibility or that of your Travel Agent.

Amendments/Late Booking Fee/Re-Issue Documents

A fee of AUD $44 including GST per file amendment will be charged in addition to any charges levied by the principals. A Late Booking Fee of AUD $50 including GST per file will apply to al bookings processed within 2 weeks prior to Australian departure. Amendments made after documents have been issued will incur a re-issue fee of AUD $65 including GST per file. In addition to above fees, our local international representatives may also impose their own administration costs to any amendments/cancellations made.

Booking Arrangements

All booking arrangements are to be made through your Travel Agent. A firm contract will exist between yourself and the Travel Agent following receipt of deposit prescribed on this website for your holiday. If the booking is made by yourself and for and on behalf of other persons, your booking shall be taken as acceptance of the Booking Conditions by each and every person named by you. The contract will be governed by and subject to the Booking Conditions and to the general information contained on this website. No variation of the Booking Conditions shall be of any effect unless made in writing and with the authority of CHAT TOURS. All communications from us will be sent to your Travel Agent. Your Agent shall, on receipt of any holiday monies, promptly remit such monies to us. All such monies received by us are, as required by law, deposited on your behalf into an account maintained in our name with our Bankers. We shall be entitled to keep for each account any interest earned on such monies. It is a condition of our confirmation of your booking and acceptance of your deposit in respect of your holiday tour, that all monies paid by you to us through your Agent, whether by way of deposits or otherwise in respect of your holiday tour, may be disbursed by us and when we see fit or in respect of the services to be provided or fees payable under the tour program and the payment of a deposit or otherwise for your holiday tour shall be deemed to be a direction to disburse such monies as foresaid.

Tour Planning Cost

Included in each tour cost are charges and research fees, itinerary preparation arrangement costing, currency transfers, booking procedures and brochure printing and distribution. Itemisation of tour costs will not be rendered and payment of a deposit will indicate an acceptance of the above conditions by the purchaser.

About Accommodation and Ferries in Greece

Hotel standards differ greatly all over the world so it is important to understand that our hotel classifications reflect how they compare to others in the same destination. Generally speaking, rooms may be compact with very basic amenities, especially in the Budget or 2.5 Star range. Triple rooms are more than often crowded and for this reason we recommend them to couples with one child only. Hotels are generally well-priced so it is worthwhile considering spending a few dollars more to avoid disappointment. Package rates are based on specific hotels and services, so supplements may apply when these are not available or not operating. A typical situation would be an enforced upgrade from a standard ferry to a Highspeed in the event of cancellation of the former. In the event hydrofoils are not operating, passage will be substituted by ‘A’ Class ferry.

Consumer Claims

If you are unhappy about any aspect of the holiday you must make your dissatisfaction known to the service provided or hotel immediately so that they can have the opportunity to correct the situation on the spot. We are happy to investigate any consumer issues that may occur if the matter wasn’t resolved locally to your satisfaction. Any consumer claims must be made to us via your Travel Agent in writing.

Law of Contract

All matters concerning your booking shall be subject to the Laws of New South Wales and legal action arising under the contract shall be litigated only in the appropriate court having jurisdiction in that State, which Court both parties acknowledge to have exclusive jurisdiction in relation to any legal action brought hereunder.

Our Responsibility

We always do our best to make sure your holiday arrangements are satisfactory. We are responsible for supplying the services and accommodation described in this website pursuant to the contract between the Travel Agent and the passenger except where changes are beyond the control of the operators. However, we cannot accept any liability of whatever nature for the acts, omissions, delays, cancellations, or default whether negligent or otherwise of those airlines, coach operations, shipping companies, hoteliers or other persons providing services in conjunction with your holiday pursuant to contract between themselves and yourself (which may be evidenced in writing by the issue of a ticket, voucher, coupon or the like) and over whom we have no direct and exclusive control. We do not accept liability in contract or in tort (actionable wrong) for any injury, damage, loss, additional expenses or inconvenience caused directly or indirectly by force majeure or other events which are beyond our control or which are not preventable by reasonable diligence on our part including but not limited to war, civil disturbances, fire, floods, unusually severe weather, acts of God, acts of government or any other authorities, accidents to or failure of machinery or equipment or industrial action (whether or not involving our employees and even though such action may be settled by acceding to the demands of a labour group.)

Before You Book

The information on this website was correct at time of publishing. Unforeseen changes beyond our control could have occurred in respect to land prices, services and facilities. Please check with your Travel Agent or CHAT TOURS before you book.

Airline Carriage

Some holidays purchased from those on this website must be in conjunction with airline carriage. We stress that CHAT TOURS as the tour operator cannot accept responsibility or liability for any delays of airline services used in these holiday programs. In the event of a delayed flight, you should be informed directly by the airline and advised of the revised arrangements the airline has made for you. It is essential that you ensure that your Travel Agent advises CHAT TOURS of a contact telephone number, email address or street address where you can be reached immediately prior to your holiday departure. Provided CHAT TOURS has been advised by you or your agent of a delay in any of your flights, CHAT TOURS will ensure that your overseas hotels are advised of your delayed arrival.

Unlicensed Entity Disclaimer

If you request CHAT TOURS to arrange for the provision of products or services by a person or company which is not licensed in accordance with any applicable law, CHAT TOURS accepts no liability (whether in contract, for negligence or otherwise) for any loss or damage suffered by you as a result.
